A/P & Payroll Clerk

Digital Extremes, London, Ontario

        Accounts Payable

  • Record vendor invoices, verifying details & assessing appropriate general ledger account and sales tax treatment

  • Collect & document evidence of approvals as required by company policy

  • Prepare bi-weekly cheque runs, ensuring accuracy & completeness

  • Record payments, deposits, and credit card transactions in QuickBooks

  • Prepare monthly bank, petty cash, and credit card reconciliations in a timely manner

  • Monitor bank account and credit card balances

  • Liaise with 3rd party vendors and internal departments regarding invoice and payment inquiries

  • Maintain vendor database & identify any necessary tax reporting

  • Monitor vendor contract reporting requirements

    Payroll

  • Gather, verify, and record bi-weekly payroll data entry & other adjustments efficiently and accurately

  • Maintain clear documentation of adjustments and approvals

  • Reconcile payroll with the general ledger

  • Act as first point of contact for payroll & vacation inquiries

  • Work with HR Assistant to ensure payroll records are complete and accessible

  • Reconcile payroll earning, deduction, &/or taxable benefit components as needed

  • Assist with timely government reporting (Canada & US)

  • Report & pay all payroll taxes

  • Research, understand, & ensure compliance with legislative requirements

    Internal Operations

  • Facilitate the productivity and efficiency of the Finance department by maintaining exemplary financial records and data

  • Support the Finance department as needed, including assisting with monthly reporting needs and gathering data as requested

  • Assist with external audits

  • Perform special projects and ad hoc requests

  • Provide innovative recommendations on improving current processes

  • Assist in developing & maintaining documentation for Finance department policies and procedures

  • Enforce company policies & perform all functions with a controls-based mindset

    Essential Skills

  • Proficiency in Microsoft Office, especially Excel

  • Basic knowledge of accounting principles

  • Well-organized and detail oriented

  • Ability to prioritize multiple assignments and tasks to meet deadlines while working in a dynamic, fast paced environment

  • Excellent problem solving skills and willing to take initiative; a “can-do attitude”

  • Willing to take the extra step to meet departmental goals and needs

  • Strong interpersonal and communication skills, both written and oral

  • Post-secondary accounting &/or payroll diploma or certificate
